RESPOND Questions & Answers

The questions and answers below are based in part upon discussions with OCLC trainer Kathy Kie. If you have other questions related to the RESPOND project, please contact either Kathy Kie (kiek@oclc.org) or Jeff Gima (jgima@aup.fr).

 


Q: What happens after we submit the batchload order form?

A: After you submit the batchload order form, you should receive an email with the Project ID. This project ID should be included in the Label File that is sent with your file of records. You can find information about setting up the Label File to send with your file of records:

Q: The preferred method of submitting the batchload is via an EDX account -- so how do we set this account up?

A: To set up an EDX account, complete the EDX Assessment Form; you can find additional information about the EDX account here. You will receive a confirmation email when this is set up with instructions about how to logon and change your password. This account does require that your password be changed every 90 days. If that does not happen or if you forget your password, an email to support@oclc.org can get it re-set. OCLC will not be setting up these accounts for us -- each library should complete the form themselves due to variations in local systems, IP addresses, etc.

Q: For libraries that have previously used OCLC, should they now switch to using the new authorizations (those created with RESPOND) for all their OCLC services?

A: To track the usage and gather statistics on use by AMICAL libraries, it is a good idea for the current OCLC libraries to use the new authorization numbers.

Q: If a library has an additional staff member (currently without an authorization assigned) that will be simply updating or responding to lending requests, can the library request an additional authorization for that person?

A: Yes, OCLC can supply additional authorizations for Resource Sharing access. Please provide the OCLC symbol of the library requesting the authorization, the name of the person who will be getting the authorization and suggest a password.

Q: Do all authorizations have the same kind of access to the FirstSearch admin module, or could such a person be given an authorization just with access to the FS Staff View, without admin access?

A: All the RESPOND ILL authorizations have the same kind of access to the FirstSearch Admin Module. That is, they only see the ILL staff view options under the Resource Sharing tab. Once the FS authorizations are assigned to AMICAL group catalog, then these libraries can link up their ILL and these new FS authorizations. This will give them access to the FS options in the Admin Module as well.

Q: How can I change the password for my OCLC authorization (login)?

A: With these Cataloging and ILL authorizations, the password change must be done at OCLC. There is an OCLC Access & Authorization form that can be used to request these password changes. The form can be painfully slow to complete, though, so it's best to send an email to OCLC indicating your authorization code and the changes you want to make.

Q: What is the relationship between the authorizations created with the RESPOND project and any preexisting OCLC autorizations that institutions may have?

A: For libraries that already have ILL and/or cataloging authorizations, these new authorizations do not give them any more access. They are simply additional authorizations under their current OCLC symbol. For libraries that are new to OCLC as part of this project, these authorizations provide their OCLC access.

Q: When will our authorizations allow us to configure our access to the Group Catalog?

A: When the group catalog database is created, OCLC will set up the FS authos for the group participants and we will automatically link the new ILL authos with the FirstSearch group catalog ones. OCLC group services staff have a questionnaire for the group catalog participants to complete about colors, logos, etc. Once we have that information, we customize the interface for your group catalog, link the FS and these ILL authos then distribute the authos to the group participants. This is so all libraries in the group see the same logos, color scheme and group name.
